REAL ESTATE · COSTA DEL SOL

An agent for agents and a lead machine.

IIM Marbella has been selling property on the Costa del Sol since 2002, with a team of eight agents. We are running two implementations: an AI assistant for the sales team and cold email, from domains through to replies.

PROCESS FLOW

Two lines: the agent for agents and cold email

The top line is the assistant: overnight it goes through the CRM and email, and in the morning it hands the salesperson a ready list. The bottom line is cold email, from domains and mailboxes through to replies, which land in the CRM as leads.

IMPLEMENTATION 01 · AGENT FOR AGENTS

Every agent starts the day with a ready-made list.

The assistant ties together email, the CRM and the calendar. Overnight it reviews sales opportunities, wakes up contacts that went quiet months ago and prepares messages for approval. In the morning the salesperson gets a list: who to go back to, what to send and which meeting slots are free.

  • Email, CRM and calendar in one. The agent does not jump between tabs: everything is in one place.

  • Dormant contacts come back into play. Opportunities that went quiet for months get a second life.

  • A human approves, the agent sends. No message goes out without the salesperson's decision.

An example with made-up contacts

What it looks like on an example.

Three opportunities in the CRM, one email thread and tomorrow’s calendar. In the morning the salesperson gets a single list from all of it, and the message draft waits for their approval.

SubjectRe: Apartments with a sea view
BodyHi Anna, in January you asked about 2-bedroom apartments with a sea view. Two new listings came in this week. Would a viewing on Thursday suit you?

To a person

The salesperson decides who to go back to and what to send. The draft only goes out once they approve it.

  6. 06:30:00done · the morning list is waiting
  7. 06:30:01waiting for the salesperson’s approval

The agent sends nothing on its own. The draft waits for the salesperson’s approval, and the decision on who to go back to stays with a person. The contacts, addresses, dates and message text are made up.

IMPLEMENTATION 02 · COLD EMAIL

A whole channel built from scratch.

We sell the client exactly what we use to sell ourselves. Domains, warmed-up mailboxes, prospect lists, personalised campaigns and reply handling, all on our side. The office gets conversations, not the legwork.

  1. 01

    Sending infrastructure

Four domains and 60 mailboxes, warmed up so that emails land in the inbox, not in spam.

  2. 02

    Lists and personalisation

Research on each recipient and messages written for that specific person, not a mass-mailing template.

  3. 03

    Campaigns and sequences

Sending, follow-ups and variant tests, all run by us, with a report for the client.

  4. 04

    Replies go to the agents

Interested prospects land in the CRM with context. The office talks to people instead of sending emails.

RESULTS

The channel is working, and so is the agent.

LIVE

Both implementations are live. Every morning the agent hands the sales team a ready list, cold email is running, and replies go into the CRM as leads. We will publish the results once they have been counted.
